Harvest ticket accuracy
The challenge

Harvesters were paid on paper tickets counted at the collection point, tallied at the division office, and typed into a spreadsheet at head office a week later. Yield per block, per harvester, and per fertiliser programme was effectively guesswork.

01Paper harvest tickets were lost, duplicated, or disputed, and payroll corrections ran on for weeks.
02Fresh fruit bunch deliveries to the mill were weighed but never reconciled back to the block of origin.
03Fertiliser and agrochemical cost sat in stock records with no link to the blocks that received them.
04Mill extraction rate was calculated monthly, far too late to act on quality problems in the crop.
Our approach

The solution

ERPNext implementation

The mill runs as an ERPNext manufacturing site converting fresh fruit bunches into CPO and kernel, while each estate block is a cost centre so fertiliser, labour, and maintenance land where they were actually spent.

Mill production with CPO and kernel yield, extraction rate, and by-product recovery per shift.Block-level cost centres capturing fertiliser, upkeep, harvesting labour, and internal transport.Weighbridge integration so every FFB ticket posts stock and cost automatically.Harvester piece-rate payroll with BPJS Ketenagakerjaan and BPJS Kesehatan handling.

Web platform

A yield analytics platform where agronomy and management compare blocks, planting ages, and treatment programmes against harvest history instead of arguing from anecdote.

Key features
Yield per hectare by block, planting year, and soil type with season-over-season trend
Fertiliser programme cost evaluated against measured yield response per block
Mill throughput, extraction rate, and downtime with cause analysis by shift
Harvester productivity and quality ranking used for supervision and bonus decisions

Mobile app

A field app for mandors and harvesters on low-cost Android phones, designed for estates where there is no mobile signal for hours at a time and no power at the collection point.

Key features
Harvest recording by block, harvester, and bunch count with quality grading
GPS-stamped collection point check-in that proves where the crop actually came from
Fertiliser and spraying application recorded against the block that received it
Full offline operation for an entire day, syncing on arrival at the division office

Higher yield per hectare
Yield per block is known daily, so underperforming areas get attention within the same season.
Payroll disputes with harvesters dropped once every ticket carried a location and a timestamp.
Fertiliser spend is evaluated against measured yield response rather than standard practice.
The mill reacts to extraction-rate drops in the same shift instead of at month end.
Signal was the reason we were told this could not be done. The app simply does not care. It collects all day and syncs when the phone gets home.
