The challenge

Every shipment was a project run on email, WhatsApp groups, and a shared folder. Vendor trucking costs, port charges, and handling fees arrived weeks after delivery, so invoices went out late and true margin per job was never known in time.

01Customers called operations for status updates, and each answer required checking with a driver or an agent.
02Proof of delivery was a signed paper sheet that came back to the office days after the drop.
03Vendor invoices were matched to jobs by hand, and unbilled costs were routinely missed at closing.
04Nobody could say which lanes and which customers actually made money until the quarter had ended.
Our approach

The solution

ERPNext implementation

Each shipment became an ERPNext Project with a job number, so revenue, vendor cost, and margin accumulate against it in real time and invoicing triggers the moment delivery is confirmed.

Recovered unbilled cost
Margin per lane and per customer is visible while the job is still running.
Costs that used to slip past billing are now caught before the invoice goes out.
The status desk was redeployed to sales support once customers self-served on the portal.
Delivery disputes are settled with a timestamped photo and signature, not a phone argument.
Our customers stopped calling us for status, which sounds like a small thing until you realise two people used to do nothing else all day.
